Digital inspection with photos and signatures
How many times have you ended up arguing with a customer about the state of equipment at return? "It was already like that when I picked it up!" Without evidence, it's your word against theirs.
Digital inspection ends those conflicts. Here is how to set it up and use it day to day.
Why go digital?
A paper inspection takes 5 to 10 minutes on average, is almost never re-read, and ends up forgotten in a filing cabinet. A digital inspection in Rentix takes 2 minutes, is one click away, and can serve as legal evidence.

Step 1: Configure your checklist
In Rentix, you create a custom checklist per equipment type. For example for a trailer: body, floor, tires, hitch, lights, plate, included accessories. Each item can be OK, defective, or neutral.
You can also flag certain items as "required": your team can't finalize the inspection without filling them in. Perfect to ensure nothing gets skipped.
Step 2: Capture photos with the phone
At pickup, the agent takes photos directly from the Rentix mobile app. Photos are automatically timestamped, geolocated (with consent), and linked to the rental file.
We recommend at least 6 to 10 photos: front, back, both sides, interior if applicable, close-ups on critical areas. The more you have, the more protected you are.
Step 3: Annotate existing defects
If a piece of equipment already has wear marks or minor defects, you can annotate them on the photo (circles, arrows, notes). The customer signs this annotation, acknowledging these defects existed before their use.
At return, if new defects appear, they're clearly identified. And it's easy to present to an insurer in case of a claim.
Step 4: Customer e-signature
The customer signs directly on the phone or tablet screen, with their finger. The signature is timestamped, archived, and is legally valid in the US (ESIGN), Canada (Electronic Documents Act), and Europe (eIDAS).
An automatic email sends the customer a PDF copy of the signed inspection report. You retrieve the document from the customer file in two clicks.
Step 5: Return inspection and comparison
At return, the team opens the same file and runs the reverse inspection. Rentix shows the pickup and return photos side by side, making new damage easy to spot.
If damage is found, you can immediately generate a repair invoice, charge the security hold, or open an insurance claim. Everything is documented the first time.
Best practices to leave nothing behind
Always do the inspection with the customer present, never after they leave. Always shoot in well-lit areas. Always explain what you're doing: it reassures the customer and looks professional.
